One system from enquiry to P&L

Chartering teams often work across spreadsheets for estimates, email for offers, and a separate accounts system for invoices. Numbers drift between the estimate, the fixture, the voyage and the final invoice. Offshore Chartering & Vessel Operations links these steps in one database, so each estimate, offer, contract and voyage carries the same inputs.

The software covers the chartering cycle used by ship chartering and offshore operators: enquiry, estimate, offer, fixture, contract, voyage or offshore activity, invoicing and profit reporting. It supports voyage charter, time charter, offshore day-rate and cargo relet business, and it is built for marine operations teams in the UAE and the wider GCC.

Each user works within a role that sets what they can view and change. Approved estimates and finalised voyages are locked, and changes are written to an audit log.

  • Estimation: Scenario-based estimates with TCE, profit per day and break-even rate.

Chartering and Offshore Operations: Direct Answers

Short answers to the questions charter managers ask most often.

How do you calculate time charter hire with off-hire?

Time charter hire is the daily hire rate multiplied by the days the vessel is on hire, so off-hire days are excluded. The software records each off-hire period to the exact hour and leaves out disputed periods from actual off-hire days. Automatic hire deduction still awaits a business rule decision, so confirm how your contract treats it before invoicing.

How is an offshore day rate calculated with standby and mobilisation fees?

Billable hours are charged at the day rate, prorated by the hour (hours divided by 24), or rounded up to the started half day or full day. Standby hours are charged at the standby day rate or at the full rate. The mobilisation and demobilisation fee is a lump sum added once per contract. Example: 30 billable hours at 14,500 per day, prorated by the hour, gives 18,125.00.

What is time charter equivalent earnings (TCE)?

TCE is the average daily earning of a vessel after voyage costs. It equals net revenue minus voyage costs (fuel, port, agency, canal and other), divided by total elapsed days, including port and offshore days. Operating costs such as crew and maintenance are excluded. Illustrative example: net revenue 712,500 minus voyage costs 219,600 over 16.5 days gives a TCE of 29,872.73 per day.

What is the difference between a voyage charter and a time charter?

A voyage charter pays the owner freight to move a specific cargo between ports, and the owner pays fuel and port costs. A time charter pays the owner hire per day for a period, and the charterer pays fuel and port costs. In the software, voyage charter defaults put bunkers and port costs on the owner account, and time charter defaults put them on the charterer account.

How do you calculate a cargo relet margin?

Cargo relet margin is relet revenue minus the tonnage cost paid for the head charter and minus voyage costs. The margin percentage is that profit divided by gross relet revenue. Tonnage cost is excluded from relet TCE, so the TCE stays comparable with the daily hire paid for the tonnage.

How do you compare estimated and actual voyage profit?

Approve the estimate, convert it to a voyage, then record actual days, fuel, port and other costs, and revenue on the voyage. The voyage P&L and estimated vs actual report show the variance on each line against the approved estimate.

Offshore and Time Charter Software: Frequently Asked Questions

Questions chartering and operations teams ask before they choose a system.

How do you calculate time charter hire with off-hire?

Hire is the daily rate multiplied by the days on hire, and off-hire days are excluded. The software records off-hire periods to the exact hour. It does not yet deduct hire automatically, because the deduction rule (and how fuel is treated during off-hire) is awaiting confirmation.

Which charter types does the software support?

Estimates cover voyage charter, time charter, offshore day-rate and cargo relet. Each type has default accounts and revenue lines, so an estimate starts with the right cost split for that charter type.

Can the software handle head charters and cargo relets?

Yes. A cargo relet estimate takes relet revenue, adds the head charter (tonnage) cost, and deducts voyage costs to give the relet margin. The head charter cost is entered as a cost item in the tonnage group.

Does the software calculate laytime and demurrage?

Yes, for cargo voyages. The calculator works out used and allowed laytime, demurrage and despatch amounts, and applies laytime exceptions. Laytime rules that depend on specific charter party terms, such as SHEX calendars and reversible laytime, are not yet built.

Can I see profit per offshore activity?

Activity revenue is calculated for each activity. Activity profit and utilization are not yet built, and fuel recharge to the client is not yet automated, so fuel used is recorded per activity but not priced into the invoice.

Can we compare estimated and actual voyage profit?

Yes. The estimated vs actual report and voyage P&L show each line's variance against the approved estimate, including profit, margin and profit per day.

Does the system handle port disbursement accounts?

Yes. Each port DA lists items by cost category and shows the variance between the estimated and the actual amounts, per category and in total.

Which currencies are supported?

Amounts can be entered in any currency in the currency master. Each item converts to the estimate's main currency at the exchange rate stored with that item.

Who can see and change which records?

Roles and permissions control access to each module. Every change is recorded in the audit log, and finalised voyages and approved estimates are read-only.
